A KDP proof copy is the better fit when you are preparing a paperback or hardcover to publish through Amazon. Private one-copy printing is the more direct route when you only want a physical book for yourself, a client review, or a gift and do not need a retail listing.
The quick answer
Choose the route by purpose, not by the fact that you need only one copy.
- Choose a KDP proof if you are building an Amazon edition and want to inspect it before publishing.
- Choose private one-copy printing if the finished book is for personal use, an internal review, a family gift, or a private presentation.
- Choose KDP author copies later if the title is already Live on KDP and you need copies of the published edition.
The words proof copy can cause confusion. In KDP, a proof is not simply any book printed in a quantity of one. It is a specific order connected to a book in your KDP Bookshelf. Private printing starts from a different question: can this file become one physical book without setting up a retail product?
What is a KDP proof copy?
A KDP proof is a printed test copy of a paperback or hardcover being prepared in Kindle Direct Publishing. Amazon says the book can remain in Draft status, but you must complete the book setup far enough to approve it in Print Previewer before requesting the proof.
KDP currently allows up to five proof copies in one order. After the request, Amazon sends a link to complete the purchase. Proof copies may also be shipped to reviewers. They do not qualify for free or Prime shipping, and the available delivery choices depend on the destination and Amazon marketplace.
This makes a KDP proof useful for checking an intended Amazon edition. You can hold the book, inspect margins and page order, and then return to the publishing setup if something needs to change.
Proof copy and author copy are not the same. KDP author copies are available only when a title is Live or Live with unpublished changes. KDP lists a limit of five per proof order and 999 per author-copy order.
A KDP proof sits inside a publication workflow
For a hardcover, KDP asks for title details, description, keywords, categories, content files, rights, territories, and list prices. You choose print options, upload an interior and cover, preview the result, and may order a proof before clicking the final publish button.
That does not mean the draft proof is already a live retail listing. It means you are preparing the data and files for an edition intended to be published through KDP. If Amazon distribution is not part of your plan, much of that setup may solve a problem you do not have.
What is private one-copy book printing?
Private one-copy printing produces a finished physical book without requiring you to release it as a retail title. Typical projects include a family history, a child’s story, a memorial book, a portfolio, a workbook sample, a private manuscript, or a presentation copy.
You still need a usable interior, a cover plan, and permission to reproduce the material in the file. You also need to approve what will be printed. The difference is what you are not setting up: no Amazon listing, sales territories, public list price, retail metadata, or bookstore distribution is required for the private copy itself.
YourBookBound’s standard workflow begins with a free human file check. You can upload PDF, DOC, DOCX, or RTF, plus an optional cover. The single $99 USD service includes technical file corrections, interior layout preparation and cover design or adjustment and spine setup. We confirm your book specifications before payment. You then receive a digital proof to approve before production of one hardcover.
This route is deliberately narrow. It is for one private hardcover, not a shortcut for launching a retail edition.
KDP proof copy vs. private book printing
| Question | KDP proof copy | Private one-copy printing |
|---|---|---|
| Main purpose | Check an edition being prepared for Amazon publication | Make one physical book for private use or review |
| Retail setup | Uses KDP book details, rights, pricing, and content setup | No retail listing or distribution setup is required |
| When copies are available | Proof in Draft after Print Previewer approval; author copies after the title is Live | After the file is accepted, the order is confirmed, and the digital proof is approved |
| Quantity | Up to five proofs per order; up to 999 author copies per order | One finished hardcover in the standard YourBookBound service |
| ISBN | Ordinary paperback and hardcover publication requires one; separate formats need separate ISBNs | Not required merely to print one private copy that is not being published or distributed |
| Hardcover format | Case laminate, no dust jacket, five trim sizes, 75 to 550 pages | Eligibility and specifications are confirmed during the file check |
| Price structure | Printing cost times quantity, with shipping and applicable taxes at checkout | $99 USD including file corrections, layout, cover design or adjustment and spine setup, a digital proof, one hardcover and standard tracked shipping |
This table compares the current workflows, not print quality. Paper, color, trim size, page count, destination, and file condition can change what is possible. Check the specifications and final order terms before paying either provider.
Choose KDP when Amazon publication is the goal
KDP is the sensible route when the proof is one step toward a public Amazon edition. You are already prepared to make decisions about metadata, ISBN, cover specifications, rights, territories, and list price. You want the physical test to match the platform that will manufacture the published copies.
It can also be useful when you expect to order author copies after release. KDP separates the pre-publication proof from the post-publication author-copy order, so plan around the status of the title.
For hardcover projects, check the format limits early. KDP currently offers case laminate hardcovers without dust jackets, five trim sizes, and a page range of 75 to 550. A paperback file is not automatically a valid hardcover file. The cover measurements differ, and each print format needs its own ISBN.
Choose private one-copy printing when the book does not need to be published
Private printing fits when the physical object is the goal. You may want to place a memoir on a family shelf, bind a child’s illustrated story, review a workbook away from a screen, present a proposal, or see whether a manuscript feels finished.
In those cases, a retail listing can be unnecessary overhead. You do not need to invent a public description, choose sales territories, set a list price, or commit to distribution just to inspect one bound copy.
Private printing is also useful before you have made a publishing decision. The copy can reveal awkward page breaks, small text, weak images, or a cover that reads differently at full size. If you later decide to publish through KDP, treat that as a separate project and rebuild the files to KDP’s current specifications.
If this is your first private project, start with the personal book printing guide. If the layout already exists, use the checklist for printing a book from a PDF.
Files, costs, and common traps
Do not compare the first number you see
A KDP proof is priced from the book’s printing cost, then shipping and applicable taxes are added at checkout. It is not eligible for free or Prime shipping. The result varies with format, page count, ink, marketplace, quantity, and destination.
YourBookBound charges a fixed $99 USD for technical file corrections, interior layout preparation, cover design or adjustment and spine setup, a digital proof and revisions before approval, one finished hardcover and standard tracked shipping. File preparation does not create a higher service tier. Compare these complete inclusions with the manufacturing and delivery components in another provider’s quote. Review the $99 service details before ordering.
A readable file may still need print preparation
A PDF that looks fine on a laptop can still contain wrong page dimensions, missing bleed, low-resolution images, embedded font problems, or unsafe margins. An editable Word file can change when fonts or page settings differ. A cover must match the final trim size, page count, paper, and binding method.
KDP expects files made to its specifications. Private printing still has specifications, even when the book will never be sold. Use the file guide to see what can be submitted for an initial check.
Do not use a proof as a substitute for final proofreading
A physical copy is good at revealing visual and manufacturing issues. It will not know that a date is wrong, a name is misspelled, a quotation lacks permission, or a chapter is missing. Review the text, page order, blank pages, image rights, and cover direction before approving production or publication.
Common questions
Can I order one KDP proof without publishing the book?
Yes. KDP says a paperback or hardcover can be in Draft status when you request a proof, but you must first approve it in Print Previewer. The proof remains part of a KDP book setup.
Is a KDP author copy the same as a proof?
No. A proof is available before publication under KDP’s Draft workflow. An author copy becomes available only when the title is Live or Live with unpublished changes. The order limits also differ.
Do I need an ISBN for one private hardcover?
Not merely to make one copy for private use. An ISBN becomes relevant when you create a published edition for a platform or distribution channel that requires it. Read the separate guide to whether one private book needs an ISBN if that is the main decision. The key question is whether you are making a private object or preparing a book product for sale and distribution.
Which option is cheaper?
There is no honest universal answer. A KDP proof price changes with the print specifications, shipping, taxes, marketplace, and destination. A private service may include file work or shipping that is separate elsewhere. Compare quotes for the same book, the same destination, and the same amount of preparation.
Can I use the same files for private printing and KDP?
Sometimes the interior can be adapted, but do not assume it will pass unchanged. KDP has its own trim, bleed, margin, page-count, and cover requirements. Hardcover covers must be generated for the chosen specifications. Ask each provider to check the actual files.
Does private printing stop me from publishing later?
No. Printing one private copy does not force a future publishing route. If you later choose KDP, prepare that edition to KDP’s current rules and make the necessary decisions about ISBN, metadata, rights, pricing, and distribution.
Need one private hardcover, not an Amazon listing?
Send the file for a free human check.
Upload the interior and an optional cover. There is no payment at upload and no obligation to order. We inspect the files and explain the preparation included in the $99 USD service before you decide.
