An Author Welcome Email Sequence You Can Adapt in an Afternoon

A welcome sequence should deliver what someone requested, help them use it, and offer a sensible next step. For a book creator, three short emails can be enough: the sample, a useful explanation, and an invitation to see the edition. Each message should work even if the reader skipped the previous one.

A welcome sequence should deliver what someone requested, help them use it, and offer a sensible next step. For a book creator, three short emails can be enough: the sample, a useful explanation, and an invitation to see the edition. Each message should work even if the reader skipped the previous one.

Below is a complete example for an invented book about preserving family photographs. The messages are instructional samples, not emails we claim to have tested with customers. Adapt the content to your actual book, permissions and fulfilment arrangements before sending.

Start with a signup promise you can keep

A vague “Join my newsletter” form leaves people guessing. State what they receive immediately, what follows and whether there will be ongoing updates. For example:

“Get the sample chapter: add useful captions to your family photographs. I will also send two follow-up emails about the book over the next week. Choose separately if you want occasional future book updates. You can unsubscribe at any time.”

Only promise this if you can deliver it. Asking for a sample does not justify importing the address into every future campaign. Keep the signup source, time and the wording shown to the person. Do not add event contacts, purchasers or social followers to this sequence merely because you have their email addresses.

Prepare the sample first. Give it a descriptive filename, check that it opens without logging in and include a link back to the relevant edition page. Do not send a large print-production PDF when a small readable sample will do.

Set up the sequence around recipient actions

Use a dedicated group or tag in your email service for this sample. The signup should add a person to that group only after the confirmation process you chose. The first email delivers access. A possible schedule is immediate delivery, a helpful follow-up two days later, and an invitation five days after signup. These intervals are a starting plan, not proven optimal timing.

Before enabling the sequence, define its exit conditions. Unsubscribed or bounced addresses must not receive later messages. Someone who already bought the book should not receive a message urging them to buy that same edition. If your email system cannot recognize buyers, avoid complex automation and review the small list manually.

Use a recognizable sender name and an address you monitor. Follow your email provider’s domain-verification and authentication instructions. Google’s sender guidelines explain authentication requirements and the importance of wanted messages and easy unsubscribing. A newsletter platform does not guarantee inbox placement.

Email 1: deliver the sample and one useful action

Subject: Your family-photo caption sample
Preview text: Start with one photograph whose story you still remember.

Hello,

Here is the sample chapter you requested: [Read the captioning sample].

Choose one photograph and write down who appears in it, approximately when it was taken, where it happened and why you kept it. If you do not know a detail, leave it marked as unknown rather than guessing.

For example: “Grandmother Lina outside her first apartment, probably spring 1974. The date is an estimate from the family.” That small note is more useful to a future reader than “Happy memories.”

The sample includes a blank caption record you can reuse. In two days, I will send a way to handle conflicting memories without losing either account.

If the file does not open, reply to this email and tell me which device you are using.

The delivery link is the main action. Do not hide it underneath a biography or a discount. The fictional caption demonstrates the task; replace it with an equally clear example appropriate to your own sample.

Email 2: help the reader past a real obstacle

Subject: When two relatives remember the same photo differently
Preview text: Keep the source of each memory alongside the caption.

Hello,

A family photograph can produce two different stories. One person remembers a birthday; another remembers a summer visit. You do not have to choose a confident-sounding answer before you have evidence.

Make a short note under your working caption:

“Date unconfirmed. Lina remembers 1974; Paul remembers the summer of 1975. Check the inscription on the original print.”

Keep that note in your working record. When preparing the book, use wording that reflects what you actually know, and ask the relevant relatives whether they are comfortable with the material being included.

Try this on one uncertain photograph today. The original sample is here if you need it: [Read the captioning sample].

Which part is holding up your project: identifying people, arranging the sequence, or choosing what to leave out? You can reply with a sentence.

This message earns its place by solving a problem. The reply question also gives you useful editorial evidence. Answer replies yourself or assign them to someone who understands the project; a conversation invitation with no response is a broken promise.

Email 3: explain who the full book is for

Subject: Ready to turn your photo notes into a book?
Preview text: See the full contents and decide whether this guide fits your project.

Hello,

If you now have a few photographs with useful captions, the next challenge is deciding their order and what the reader needs between them.

The full guide, [actual book title], walks through selecting a manageable set of photographs, organizing chapters, checking captions and reviewing a printed copy. It is written for people making a family keepsake from material they already have.

It will not identify unknown people for you or restore badly damaged originals. If those are your main tasks, finish that work before deciding whether you need the guide.

This is the last email in the sample series. If you separately opted in to future updates, those will arrive at the frequency described when you joined.

Only list chapters and capabilities that the real book contains. Saying who will not benefit helps a reader make a better purchase and reduces avoidable disappointment.

Test the automation before inviting readers

Use a new test address and submit the public form. Check the confirmation, the sample link and the sequence timing. Then test an unsubscribe before the second email. Confirm in the recipient record that the remaining messages will not send. Repeat with a buyer tag if you use buyer exclusions.

Test Pass condition
New signup Receives the promised content after the chosen confirmation step
Duplicate signup Does not receive overlapping copies of the sequence
Phone reading Sample and links are readable and usable
Reply Arrives in a monitored inbox
Unsubscribe Stops subsequent marketing messages
Existing buyer Avoids an inappropriate repeat purchase request

Use replies and actions to improve the next version

Keep the number of subscribers, delivered messages, sample-link clicks, relevant replies and completed orders for each signup source. Email opens alone are not dependable proof of reading; Apple’s Mail Privacy Protection, for example, changes how remote content is loaded. Even a link click is not a purchase.

If people cannot open the sample, repair delivery first. If they download it but ask what to do, improve the instructions. If the sequence attracts many readers who need a different service, revise the signup promise. Do not automatically add more emails.

Use the sales-page guide for the destination and the reader feedback method to improve the sample. If you are preparing your own family book for print, request a file check with the material you have.
