A Children’s Book Illustrator’s Handoff Checklist for One Hardcover Copy

A practical, rights-aware handoff checklist for illustrators and designers whose adult clients have finished picture-book files and want one physical hardcover.

A children’s-book illustrator should hand a client to one-copy production only when the creative work is substantially complete, the adult client controls the decision and reproduction rights, and the next question is genuinely “How do we make one hardcover?” At that point, a short, organized handoff prevents a production provider from guessing about versions, page order, coverage, or ownership. It also keeps the illustrator’s creative relationship separate from a later technical-production step.

This checklist is for an adult illustrator, book designer, or studio whose client already has a finished or nearly finished picture-book project and wants one private keepsake, presentation copy, or physical reference book. It is not a publishing checklist. It will not turn unfinished text, loose artwork, or unresolved permissions into a production-ready book.

First, decide whether this is actually a production handoff

A handoff is useful when the client’s creative decisions are done enough to inspect the actual book: the story and artwork have been approved, the page sequence has been set, and the client wants a physical hardcover rather than help publishing the title. The production provider can then assess the file and explain what, if anything, needs preparing before an order.

If the client says… Best next step
“The pages and art are approved; I want one real copy for myself.” Make a production handoff with the current interior file and optional cover.
“I still need the words written, illustrations created, or the pages designed.” Keep the project in the creative phase. A production check cannot supply missing writing, original illustration, or a design brief.
“I need an ISBN, retail distribution, royalties, or a launch plan.” Use a publishing-focused provider or advisor. A one-copy hardcover route is not a publishing package.
“I need the lowest unit cost for dozens or hundreds of books.” YourBookBound is $99 USD per copy. If bulk unit cost is the priority, compare the complete offers of other short-run printers.
“I do not know whether I have permission to print this art, font, or text.” Pause. Confirm rights with the relevant agreement or rights holder before sharing a production file.

The point is not to force every finished illustration project into a hardcover. It is to identify the narrow moment when a client has completed creative work and needs a dependable physical-object decision.

The seven-item handoff checklist

1. Name one authoritative interior file

Give the client one clearly named version to send, rather than a folder full of final, final-2, and newest files. For a completed picture-book layout, export the interior in its intended reading order as a PDF. Keep intentional blank pages in the sequence. A blank page can affect how the book opens and how the final page count is understood.

YourBookBound accepts an interior PDF, DOC, DOCX, or RTF for its free check. That does not mean every format has the same production state: an exported PDF is usually the clearer record of a layout that should not reflow, while a Word or RTF file may need layout preparation. The actual file—not its filename or extension alone—determines what preparation is suitable.

2. Keep the cover separate unless the provider says otherwise

Do not append a front-cover image to the interior PDF merely because it is convenient. A hardcover cover is a wrap with back, spine, and front areas. Its final dimensions depend on the approved interior and production specifications. If the client has cover art, send it as a separate PDF, JPG, JPEG, or PNG. It is optional for the initial file check.

This is one reason to avoid promising that a designed cover will “just print” before a file review. A production provider needs the real interior, not an estimate, before it can judge the next cover step.

3. Give the client—not the illustrator—the decision role

The adult who owns or controls the project should submit the file, confirm the delivery country, and decide whether to continue after the review. An illustrator can make the handoff easy without becoming the purchaser, rights guarantor, or approver for a client’s book. That preserves the relationship you already built and gives the client a direct view of the production findings.

Before submission, the adult should be able to confirm that they own or have permission to use and print all submitted text and artwork. A credit line is valuable, but it does not replace an agreement about permitted printing or a font license. If that answer is unclear, resolve it before production rather than treating the upload form as a legal shortcut.

4. Send the practical facts needed for the production plan

A useful handoff includes the book title, approximate page count, delivery country, intended number of copies, and any known production requirement. It is fine to leave uncertain specifications for the free check instead of guessing a trim size. The complete one-book service costs $99 USD. If the client may want more than one book, say so. Every YourBookBound copy is $99 USD, including all listed services and standard tracked shipping; no separate quantity quotation is needed.

Do not invent a deadline. If the book is for a birthday, portfolio review, or family event, state the real date and leave the provider to confirm whether the file, destination, and timing fit. A file check should clarify feasibility, not create a promise the production route has not made.

5. Tell the client what the free check can and cannot answer

At YourBookBound, the initial check is free and requires no payment or order commitment. A human reviewer looks at the submitted file and explains any preparation needed. If the client continues, the single $99 USD service includes technical file corrections, interior layout preparation, cover design or adjustment and spine setup, a digital proof and revisions before approval, one finished hardcover and standard tracked shipping. The free check itself does not include corrections, layout, printing or a physical sample.

That distinction matters for a finished creative project. The check can inspect the version that exists. It cannot choose between two unresolved art directions, write missing back matter, establish copyright ownership, or guarantee the feel of paper and exact printed color from a screen. Those are different decisions with different evidence.

If the adult client has one current interior file, an optional cover, the delivery country, an approximate page count, intended quantity, and permission to reproduce the material, start with a free human review. They can stop after reading the findings.

6. Let the actual file determine the service level

Completed artwork can still need production preparation. YourBookBound charges one fixed $99 USD price for technical file corrections, interior layout preparation, cover design or adjustment and spine setup, a digital proof and revisions before approval, one finished hardcover and standard tracked shipping. There are no service tiers and no separate file-correction, layout or cover-preparation charge.

The free check lets the provider inspect the real file and explain the production plan before the client decides whether to pay $99 USD. The team also confirms the book specifications and delivery destination before payment. Government-imposed import duties or taxes, if any, are separate from YourBookBound charges.

7. Keep the proof approval with the adult client

If the client chooses to continue, they pay once through a secure payment link using an available payment method and receive a digital production proof before printing. The proof is the moment to review text, layout, page order, and cover as a book—not to reopen every creative decision. A screen proof is not a physical sample, so it cannot demonstrate paper feel or guarantee an exact printed color. The adult client should approve it only when the displayed version reflects the agreed work.

A concise handoff note an illustrator can use

“Your creative files are at the stage where a production check may be useful. If you want one hardcover rather than a publishing package or bulk run, submit the current interior file and optional cover directly for a free review. You will receive file-check findings and a production plan before you decide whether to order the complete $99 USD service. Please include your delivery country, approximate page count, intended quantity, and any production requirements. I remain responsible only for the creative scope we agreed.”

This wording does three useful things: it tells the client what stage they are in, gives them a low-pressure next step, and does not imply that the illustrator controls production terms or has guaranteed a result.

When another route is a better fit

Self-publishing platforms are generally a better fit when the goal is a retail edition, ISBN workflow, or distribution. A local printer can be a good fit when in-person discussion or a locally timed project matters. A short-run printer may be better for a confirmed quantity where unit economics are the priority. A book designer, editor, or illustrator is the right next step when the content or creative layout is still unresolved.

YourBookBound is a narrow option for an adult who has crossed the creative finish line and wants one physical hardcover from a real file. It does not replace the illustrator’s work, publish the title for retail, manage royalties, or position one-copy production as a bulk-printing solution.

The client’s next step

Have the adult client assemble the current interior, optional cover, approximate page count, delivery country, quantity plan, and any must-know requirements. Then let a human review the actual file. The client can see whether it fits, what preparation is needed, and which service level is suitable before choosing to pay.
