To give a book’s front matter Roman numerals and restart the main text at page 1 in Word, split the document into sections, unlink the body header or footer, then set each section’s page-number format. A page break alone is not enough: Word needs a section break when numbering rules change. Always check the exported PDF because section links and first-page options can hide or repeat numbers.
1. Map the numbering plan before editing
Write down which pages belong to front matter and where the main text begins. A common plan is lower-case Roman numerals for a preface or contents, followed by Arabic numerals beginning with 1 at Chapter 1. The publisher’s instructions take priority; some projects number all pages continuously or omit displayed numbers on selected pages.
Also ask whether the cover is part of the interior PDF. A separate cover file is often outside the interior page sequence, but follow the actual printer specification rather than assuming how it will be counted.
2. Turn on formatting marks and locate the boundary
- Save a versioned copy of the DOCX before changing page numbering.
- On the Home tab, select Show/Hide ¶ so you can see existing page breaks and section breaks.
- Place the cursor at the end of the last front-matter page, immediately before the first page of the main text.
- Choose Layout > Breaks > Next Page under Section Breaks. Confirm that Word inserts a section break at the intended boundary.
Do not use an ordinary Page Break for this change. A page break moves text to a new page but does not create separate header/footer numbering settings.
3. Set Roman numerals in the front-matter section
- Open the header or footer where the page number should appear in the front matter.
- Choose Insert > Page Number and select the position and style required by the design.
- Choose Page Number > Format Page Numbers.
- Set Number format to the required Roman style, such as i, ii, iii. If the first displayed front-matter number should be i, set the starting number according to the document’s plan.
- Close the header/footer and check several front-matter pages, including any title page that should not display a number.
4. Unlink the main text and restart at 1
- Go to the first page of the main-text section and open its header or footer.
- On the Header & Footer tab, turn off Link to Previous for the header or footer that contains the page number. Headers and footers link separately, so unlink the correct one.
- Insert a page number in the main-text section if one is not already present.
- Choose Page Number > Format Page Numbers, set the number format to Arabic numerals (1, 2, 3), and choose Start at: 1.
- Close the header/footer and confirm that the first main-text page shows 1 and the next page shows 2.
If changing the body number also changes the front matter, check that you inserted a section break and disabled Link to Previous in the relevant header or footer. If only one page behaves differently, inspect Different First Page and the odd/even header settings before changing the numbering again.
5. Decide what to show on title and chapter-opening pages
Some book designs suppress the visible number on a title page or chapter opener while still counting that page in the sequence. Use the section’s first-page header/footer option when that is the intended design; do not delete the page-number field from only one page if it should be hidden consistently on every chapter opener.
For different left- and right-hand running heads, Word can have separate odd- and even-page headers and footers. Each header/footer type has its own link to the previous section. Check those settings independently so unlinking one footer does not accidentally leave the number linked in another header.
6. Troubleshoot common numbering problems
- Chapter 1 still starts at a number other than 1: open Format Page Numbers in the main-text section and confirm Start at 1 instead of Continue from previous section.
- Front matter changes when you edit the body: check the section break and turn off Link to Previous in the header/footer that carries the number.
- The number vanishes on the first page: inspect Different First Page for that section and the first-page header/footer.
- Roman numerals continue into Chapter 1: set the body section’s Number format to Arabic and its start value to 1.
- Blank pages appear after adding breaks: inspect the break type and paragraph marks; remove only unintended breaks, then confirm chapter starts and page order again.
7. Verify the final PDF page by page
- Save the DOCX, export a fresh PDF, and confirm you are reviewing the newest file.
- Check the title page, last front-matter page, first two main-text pages, one middle chapter, and the final page.
- Compare the printed page labels with the actual PDF page count. The visible number and the PDF viewer’s physical page index may differ because covers or unnumbered pages are included.
- Review odd and even pages, chapter openings, headers, footers, and any intentionally unnumbered pages.
- After fixing a section break or header, export again and recheck the new PDF. Numbering changes can move with later text edits.
Final checklist
- The front-matter and main-text boundary is a Next Page section break.
- The front matter uses the required numbering style.
- The main text is unlinked where needed and starts at the specified number.
- First-page, odd-page, and even-page settings match the design.
- The final exported PDF shows the intended sequence and no accidental blank pages.
